TBM Update:
- The window box replacements are almost complete. Steve D'Lugos has identified 3 or 4 more window boxes on the exterior of the property that need to be replaced which will cost $5,000.
- Panels on the garage overhangs will be replaced after the window boxes are completed. At the last meeting, the Board voted to not replace the current material with the plastic sheeting. David brought up that we will lose the insulation if we go to the plastic ventilated sheeting.
- Large common garage – the garage door system was replaced and is now working again. If residents want additional openers there is a charge of $50.
- The Kalorama Place street sign has been re-hung.
- Small common garage – a new door has been order for the small common garage. Estimated date of installment is June 24, 2004. At the last meeting, the Board asked David to draft a letter to the owner that hit the garage door. He contacted her via phone and the Board asked again for a letter to be drafted. Kevin asked to review the draft letter.
- Locks – new waterproof locks have been ordered for all of the ladders to the roof. They will be replaced by June 11, 2004 and the code will remain 0542.
- Wood Rot – Steve has not done an extensive analysis of all of the wood rot. We will mail a letter to all owners asking them to report the wood rot by June 30th. After June 30th, TBM will compile a list of all of the reported damage and post it on the KP website. They will also send an email to all residents telling them that the list is posted. We will then ask Steve D'Lugos to evaluate the wood rot and solicit a bid for repairing the damage.
- Painting – painting will start as soon as the first phase of the window boxes is completed (approximately June 15.) Until the wood rot issue is addressed, Chesapeake Painting will only be instructed to paint the metal outside doors and railings. They will not paint any wood or trim. Residents raised concerns that the upper balconies were missed last time and that the painters came at unexpected times and painted closed doors. The Board asked TBM to communicate these concerns to Chesapeake and ensure that the work is done properly this time.
- Landscaping – Chris met with T&J Landscaping and did a walk of the property. T&J agreed to send Chris a revised bid. To date, the new bid had not been received. The Board agreed to revisit the landscaping and snow removal issue at the next meeting and discuss the option of soliciting additional bids if T&J does not follow through on their recent agreement with Chris.
Questions/Concerns from attendees:
- Trash removal – the resident was upset about the trash piling up. TBM explained the steps that were taken last week to correct the problem and will continue to monitor the service.
- 2413 1/2 reported that their common hallways (both front and back) are not cleaned regularly. David agreed to talk to the cleaning company.
Action Items and Assignments:
TBM
- Draft letter to owner that backed into small common garage door. Show it to Kevin for approval and send letter to owner.
- Compile list of all units that have reported wood rot. Send list to Chris to add into extensive letter that will be sent out to owners.
- Send out an email to all current KP email addresses with the link to the new Bulletin Board and a brief explanation on what it is for and how to register.
- Get a bid from T&J to water the common flower pots.
- Call Bowies and ask them to pick up the trash.
- Call the cleaning company to report concerns from 2413 1/2 and ask them to remove any remaining telephone books.
- Send out an email in addition to posting notices about the next open Board meeting.
- Solicit bid for garage camera system – from 4/2004 minutes "The Board asked TBM to get an estimate on installing digital cameras in both garages. The system should be dux or dur, record in color, and have at least 4 cameras."
- Get bid on repairing caulking and cement for Building One on 20th Street.
Chris
- Follow-up with T&J Landscaping about the final plan and when the planting will occur.
- Email letter that was sent to T&J to the rest of the Board.
- Draft letter to Kalorama Place owners on the following topics:
- Wood Rot- include list compiled by TBM and tell them to report all wood rot by June 30th. A final list will then be posted on the Bulletin Board.
- Notifying them of the new KP Bulletin Board and asking them to send their email addresses to TBM.
- City regulations related to balcony grills.
- Danger of putting pots/items on ledges.
- Picking up after their pets.
- Breaking down boxes in the trash room.

- Type up a sign that will be posted in the garages and trash rooms giving people the Kalorama Place website and bulletin board address. It will also encourage people to send their email addresses to David at TBM.

- Type up minutes for the Board's approval.
- Follow-up with TBM to ensure all action items are addressed.
