President Kevin O'Reagan opened the meeting at 7:15 pm.
Management Report:
Titan Restoration
David reported that Jesse, the project supervisor has stated he will keep tighter control over the day-to-day work at the complex to ensure all work is done accurately and in a timely manner.
A dormer window in building 3 needs to be fixed; the city is scheduled to cut a tree at 2411–20th St in October. David also noted that the ladder cattycorner to the office is coming loose and Titan has agreed to brace it.
New keys
The keys are expected at the end of June; TBM will notify the Board upon their arrival.
On a motion by Judi Gold, seconded by Ray Pasi, the Board voted unanimously that "the new keys will be available July 1–September 30 at the TBM offices-1827 14th St NW. Each owner will be given two copies for free and may request additional keys at that time for $15 each. The owner must give 48 hours advance notice for the additional keys.
"Requests for additional keys made after September 30 will cost $25 each. These keys may only be copied by TBM."
The Board further agreed that TBM would make all efforts to contact residents and owners through email, postal mail, bulletin boards, door-to-door notices and any other available notification between now and September 30.
Audit
TBM had distributed the audit via email prior to the Board meeting. David requested each Board member look at the audit and make any comments by the end of June so that it can be signed and returned to the auditors in a timely manner.
Satellite dish
Unit #100 has attached its dish on a cement block, but this was done prior to getting permission. The contractor was aware of the need to be discreet in the placement.
Cedar Tree
Denschfield has replaced the Cedar Tree with a partially grown Cedar tree at 2419 20 St. (check address)
Water in main garage
At 1902 -1904 Kalorama Pl. periodically, a tile missing, water drops down. It is not consistent and we are trying to determine from where it is coming. We have asked the tenants in those units to check when they run their dishwashers to see if there is then leakage into the garage and we will keep you posted.
Funds
David reported that we had $101,000 in checking the checking account and was moving $50,000 into savings. (did this require a vote?)
Ray—How do we know if the Association is in good financial shape?
David—Generally, you should look at two items:
- Balance sheet—At end of May we had 293,000, which is not bad, not great. It is really good, based on the amount of repairs we have been doing. And we have a positive cash flow.
- Budget comparison—The amount we have proposed to spend and the amount we are spending are comparing nicely.
- Check register—I look at this constantly. Although this is constantly reviewed, because TBM handles multiple properties it is possible that payment may be made to an incorrect vendor. We correct that immediately.
Delinquencies
Ray—What is our process for collection?
David—It is very difficult to collect fees as long as a person continues to own the property. We automatically collect at the time of sale. When the delinquency and amount of money goes beyond $1000 we do have our lawyers send out letters and even if it ends up being paid at time of sale, it will then also include lawyers' fees. For the most part our condo fees are fairly up to date with some pre-paid.
Other:
- The toilet from Unit 116 overflowed and caused damage in Unit 115. The owner of unit 116 claimed his insurance wouldn't pay. The Association received an estimate for repair of $5434.84. Ray Pasi moved that the Association pay $5434.84 to make the necessary repairs in Unit 115 and charge the owner of Unit 116. Elaine Brenner seconded the motion, which passed 4-0. A letter from the President, Kevin O'Regan will go out to both owners.
- Fred Dillon's waterfall—The designer said system is concrete pavers and Fred is finding engineers and trying to figure it out. The owners below continue to be very unhappy. Jeff reported that Fred is very flustered by clearly wants to be able to make this work and if the engineers can design it up to specs he can be cleared.
- The Board asked Kevin to prepare a letter to owners/residents for immediate release regarding permission for placement of satellite dishes, registration of pets, permission for structural walls (better wording), watering plants, only electric grills and other pertinent information. The letter would explain general information and provide citations from the by-laws and rules and regulations.
